Who we are
Occam's Pen is operated by Dr. Jenny Thom-Sadilek and Dr. Daniel Sadilek, based in Germany. For contact details see our Legal Notice.
What we collect
When you submit a manuscript for review, we collect:
- Your name and email address
- The target journal you specify
- Any instructions you provide
- The manuscript files you upload (main text, tables, figures, supplement)
How we use your data
Your data is used solely to produce your manuscript review. Specifically:
- Manuscript files are processed by AI models provided by Anthropic and OpenAI to generate review comments, tracked changes, and a research report.
- Contact information is used to deliver your review and for any follow-up communication you initiate.
We do not use your data for marketing, sell it to third parties, or use your manuscripts to train AI models.
Legal basis
We process your data on the following legal bases under the GDPR:
- Manuscript files and contact information provided via the submission form: performance of a contract (Art. 6(1)(b) GDPR)
- Follow-up communication: legitimate interest in responding to your inquiries (Art. 6(1)(f) GDPR)
Where files are stored
Uploaded manuscripts and review deliverables are stored on Google Drive, accessible only to the two operators listed above.
How long we keep your data
We retain your files for one year after the review is completed, in case you request follow-up revisions. After that, files are deleted. If you want your files deleted sooner, email jenny@occamspen.ai and we will delete them immediately.
Third-party processors
- Anthropic (San Francisco, USA) — AI model provider for manuscript analysis
- OpenAI (San Francisco, USA) — AI model provider for manuscript analysis
- Google (Mountain View, USA) — file storage via Google Drive
Data is transferred to the USA. All listed providers are certified under the EU-US Data Privacy Framework, which provides the legal basis for these transfers.
Your rights
Under the GDPR, you have the right to access, correct, delete, or port your personal data, and to object to or restrict its processing. To exercise any of these rights, contact jenny@occamspen.ai.
You also have the right to lodge a complaint with a supervisory authority. The competent authority for us is the Sächsische Datenschutz- und Transparenzbeauftragte (SDTB), sdtb.sachsen.de.
